THEIR STORY
Data was spread across several platforms, resulting in inefficiency and mad scrambles to meet client deadlines
Like most organizations, this predictive analytics company relied on several different tools to manage communications and client accounts. The development and engineering teams used GitHub to manage tasks, bug tickets, and product updates, and HuBoard to create a Kanban board for their work in GitHub. Other teams, like operations and sales, were relying on their own personal task management system to get work done. To keep everyone in the loop, teams were communicating updates and changes through email. "Everyone was just emailing back and forth, or had a whiteboard full of to-dos," says Bailey Shemenski, Head of Operations at SimpleRelevance. "I carried around a little notebook with me, full of stuff I had to do and small details would sometimes fall through the cracks without calendar due dates or without being able to share my notes with team members."

SimpleRelevance lacked a unified system across the whole company where everyone could track their individual responsibilities and check in on what was happening with other teams. Trying to integrate their multiple systems and share information ad hoc resulted in inefficiency, lost data, and miscommunications.
THEIR VICTORY
Consolidated data resulted in enhanced collaboration and quicker deliverables
The Operations team at SimpleRelevance was looking for a way to consolidate all the data that was spread out across their different platforms. "We needed one tool that would allow us to create tickets and tabs for the development and engineering team; one that was easily accessible and easy to use across the entire company, not just amongst engineers," says Shemenski.

Wrike has helped everyone at SimpleRelevance get on the same page, and they've successfully increased their ability to produce client deliverables by 30%. With a central platform where all data can be stored and accessed at any time, they've cut down on time wasted waiting for updates and responses. "It gives us a much quicker turnaround," says Steve Rose, Customer Success and Operations at SimpleRelevance. "Now we always know exactly where everything is, and where all the problems are prior to launch."

Now teams can find data or client information without having to search through chaotic email threads. The most important information sits at the top of their tasks, so it doesn't get pushed down by long threads of comments and client notes. "The virtue of having everything in one system makes it a lot easier for people to collaborate on projects, and it breaks down some of those knowledge barriers, so you don't have to track things down in your notepad or search through email threads to follow up on tasks. It's almost made it a joy amongst everyone to map out a project," says Rose.

"The transparency and ability to have an overview of the workload across all the individual team members has allowed us to deliver for clients a lot faster and a lot more efficiently. Before Wrike, the client on-boarding process was typically taking us 5 weeks to complete, and we were right up against the deadline. Now, we're getting that done in 4 weeks or less." - Bailey Shemenski, Head of Operations at SimpleRelevance

THEIR SUPERPOWERS

Gantt Chart
The Gantt Chart tool provides a project timeline view that helps the operations team map out client milestones and plan for future projects. When something needs to be pushed forward or backward, the corresponding tasks adjust accordingly. They also use this feature to map out the on-boarding process with clients, so the client has full visibility into what the plan is right from the beginning
.
@Mentions
Similar to Facebook and Twitter, @mentioning in Wrike helps the team at SimpleRelevance communicate internally on tasks. Through comments, team members can provide instant feedback and callout individuals who need to be in the know. Instead of sending an email, copying several people who may or may not be responsible, and then waiting for responses, @mentions notify people immediately and responsible parties can be easily added to conversations as projects evolve.

Custom Workflows
Custom workflows have helped the individuals at SimpleRelevance adopt Wrike quickly while maintaining their own personal workflows. Since cross-department collaboration is crucial to complete a client project, this feature allows each department to cooperate with full visibility without asking everyone to adopt a single, rigid process.
